EMAIL TERMS & POLICY

These terms describe the MIIPH Newsletter and every other email we send from miiph.org, and the standards we hold ourselves to when we send it. They apply to the Mridha International Institute of Peace & Happiness (“MIIPH,” “we,” “us,” or “our”).

1. How we build our list

Every address on our list was given to us by the person who owns it. We add an address only when someone submits it themselves through a form on miiph.org — our newsletter sign-up, membership form, or an event registration — and affirmatively agrees to receive email from us.

We never purchase, rent, borrow, scrape, harvest, or import mailing lists, and we do not add addresses collected by anyone else. Subscribing is never a condition of membership, enrollment, or any other service we offer.

For each opt-in we record the date and time, the page it came from, the exact consent wording shown, and the IP address used, so that we can always show how and when consent was given.

2. What we send

Newsletters and announcements about our peace symposiums and community events, new courses and curriculum, volunteer and membership opportunities, reflections and educational material, and occasional fundraising appeals for our work. We also send transactional messages — replies, confirmations, and receipts — in response to something you did.

3. Frequency

Usually one to four emails per month. It may be a little higher in the weeks around a major event such as the Annual Peace Symposium, and quieter at other times.

4. Unsubscribing

Every marketing email we send contains a clearly visible unsubscribe link that works in one click, without asking you to log in, confirm, or explain yourself. You can also unsubscribe at any time at miiph.org/unsubscribe, or simply reply to any of our emails and ask.

Opt-outs are honoured immediately and permanently: the address goes onto a suppression list that every future send is checked against. We keep that record for the sole purpose of making sure we do not contact you again.

5. Bounces and complaints

We monitor delivery for every campaign we send.

• Hard bounces (an address that does not exist) are suppressed permanently and are never mailed again.
• Soft bounces (a full mailbox, a temporary server problem) are retried a limited number of times; an address that keeps failing is suppressed.
• Spam complaints are treated as an immediate and final unsubscribe, whether or not the person also used the unsubscribe link.
• Inactive addresses are reviewed periodically and removed, so that we are only mailing people who still want to hear from us.

These suppressions are applied automatically before any campaign goes out, which keeps our bounce and complaint rates low and protects our recipients from mail they no longer want.

6. Sending practices

• Our messages identify MIIPH clearly as the sender and include our full postal address.
• Subject lines describe the message honestly. We do not use deceptive headers or misleading “Re:” and “Fwd:” framing.
• We authenticate our mail with SPF, DKIM, and DMARC.
• We send through a reputable third-party email service provider and abide by its acceptable use policy as well as our own.
• We comply with the CAN-SPAM Act and applicable email and data-protection law.

7. Your address and your privacy

We do not sell, rent, or share your email address with third parties for their promotional or marketing purposes. We share it only with the service providers who help us deliver our email — and only so that they can deliver it on our behalf. 8. Reporting a problem

If you receive email from us that you did not ask for, or an unsubscribe link does not work, please tell us at [email protected] or (989) 799-0635. We will investigate, remove the address, and correct whatever caused it.

9. Changes to these terms

We may update these terms from time to time. The current version is always at miiph.org/email-terms with the “Last updated” date above.
